What we actually help businesses fix

Some questions worth answering with your business:
Is the business running as well as it should?
Do you know what your competitors are doing?
Are you using the right software tools to get the job done?
Can your customers actually find you?

Everything below comes back to one of those.

Everything starts with the Review

We map how the business processes actually operate, what software tools you are using (if any), find where time, leads and money are leaking out, and rank the fixes by what they are worth. You get a written map, the top three to five opportunities, confirmation if you are using the right software, and a call to walk you through it.

Nothing on this page gets recommended before that happens. We cannot sensibly suggest a fix for a process we have not seen.

If you go with a Guided build, the same rule applies one task at a time. We look at how each task is done now before anything gets built.

Business Efficiency and Automation Review - $990 plus GST

Credited against a Full build if you go ahead within 30 days.

Start with the Review

Fix the operation

Five places the work usually gets stuck. Most reviews land on two or three of them.

Lead handling and follow-up

The problem

Enquiries arrive from the website, the portals, social and the phone. Some get a reply in minutes, some in days, some never. It depends on who is busy.

What we build

Every enquiry in one place, an immediate and sensible acknowledgement, a couple of qualifying questions, and follow-up that runs until somebody replies. Hot leads alert a person straight away.

Inbox and enquiries

The problem

The same questions answered from scratch every week. The messages that matter buried under the ones that do not.

What we build

Incoming email sorted and routed by what it actually is. Routine questions get drafted answers from your own information. Anything sensitive goes straight to the right person, untouched.

Quoting, booking and admin

The problem

A quote takes an hour and a half, half of it spent finding information you already have. Six messages to book one appointment. Documents chased by hand.

What we build

Structured intake so information arrives complete, your pricing rules applied consistently, drafts ready to check, bookings with automatic confirmations and reminders, and follow-up on anything that goes quiet.

CRM and workflow improvement

The problem

You are paying for software that does more than you use, and the same details get typed into three systems because none of them talk to each other.

What we build

Better use of what you already own before anything new is bought, the double-handling removed, and the gaps between systems closed.

If something genuinely needs replacing, we will tell you why, and what it costs, before you buy anything.

Marketing systems

The problem

The follow-up that should happen after every job, the review request, the check-in, the re-engagement of someone who went quiet, happens when somebody remembers. Which is to say, in quiet months.

What we build

The plumbing. Review requests that go out after a job is closed. Nurture sequences that run off your CRM. Re-engagement of old enquiries and past customers. A newsletter that assembles itself from what you supply.

We build the system that sends it. We do not write campaigns, run ads or produce content. If that is what you need, you need a marketing agency, and we will say so.

Two ways to get there

Once we know what's worth fixing, there are two ways to fix it. Think of it as a taxi versus driving lessons. Both get you where you're going. They just suit different people.

Full build

We drive.

We build the agreed fixes for you, inside the software you already use or suggest new apps if required, then hand them over working and documented. It suits you if you want the problem gone and have no interest in what's under the bonnet. It's also the right choice for anything that connects systems together or that your customers will see.

Fixed price, agreed before we start. Most first projects land between $2,500 and $10,000.

Guided build

You drive, we navigate.

You build it yourself, with us beside you. Twice a month we get on a call, you share your screen, and we work through one task at a time. First we look at how it's done now. Then we cut the steps that don't need to be there. Then we set up the software tools to handle what's left. You do the clicking. We tell you where, and why.

If you get stuck between sessions, send us a message and we'll reply within one business day. Everything we work on goes into a shared log that lives in your own accounts, so you can always see what's been built, and it stays with you if we part ways. We'll also be clear about what shouldn't go into these tools, like client files you're obliged to keep confidential.

From $1,000 a month plus GST. Three-month minimum, then month to month.

Not sure which suits you? That's what the free call is for. Sometimes the answer is a bit of both: we build the harder parts, and show you how to look after the rest.

Find the opportunities outside the business

The first five services make the business run better. These two tell you what is happening around it.

Competitor and market intelligence

A supplier puts material costs up. A competitor drops their pricing. A tender opens. A listing appears three streets away. You usually find out from a customer, a fortnight late.

We watch the sources that actually matter to your business and tell you when something changes, fast enough to do something about it.

What gets watched depends on the business

Supplier and material prices. Tender and job boards. Competitor listings, pricing and availability. Council and planning approvals. New entrants in your area. We agree the list, the checking frequency and what is worth an alert before anything is built.

Search visibility intelligence

You are paying for marketing and cannot tell whether it is working. The reporting you get is a list of activities, not a picture of whether anyone is finding you.

Each month you get a short scorecard. Where you rank for the searches that matter, what traffic that actually earns, how three named competitors compare, the state of your Google Business Profile, and the three fixes worth doing next, in order.

Including AI search

More people now ask an AI assistant instead of searching. Where it is practical to measure, we report whether your business appears in those answers and how it is described. Nobody can guarantee a mention. We can tell you where you stand.

We report. We do not sell the content, link or campaign work to fix what we find, and we will happily hand the findings to whoever does.

Keep it working

Systems drift. Software updates, staff change, a supplier redesigns their website, and something that ran perfectly for eight months quietly stops. Ongoing support covers two things.

The two intelligence services above also run on a monthly cadence, so most ongoing relationships end up being some combination of the four.

If you'd rather take over the running yourself after a Full build, Guided build works for that too. We teach whoever looks after the system how to adjust it and add to it.

Not compulsory. Plenty of clients take the build, run it themselves, and call us when something changes.

How it works

01

Review

Understand the business, the systems and where the friction actually is, rather than where it is assumed to be.

02

Prioritise

Choose the changes most worth making first, based on what they are worth rather than what is newest.

03

Build

Implement the agreed workflows, make better use of your software or new apps if needed, and connect systems to reduce repetitive work.
We build it for you, or you build it with us.

04

Measure

Check what actually changed. We agree what we are measuring before we start, so the answer is not a matter of opinion afterwards.

05

Improve

Refine what is working and move to the next opportunity worth the effort.

Where we draw the line

Every step we automate falls into one of three categories. You will see which is which before anything is switched on.

Runs on its own

Routine, low-risk and easy to undo. Confirmations, reminders, acknowledgements, answers to simple questions.

Software drafts, a person approves

Quotes, sales follow-up, and anything where tone or judgement matters.

Human only

Complaints, disputes, pricing exceptions, contracts, and anything legal or financial.

If a task sits on the line, it goes in the more cautious category.

Some things worth saying up front

Sometimes the answer is not automation

Occasionally the right fix is changing the process, using software you already pay for properly, or hiring someone. We will tell you when the work does not justify the complexity, even though that is the version where we get paid less.

Software costs are yours, and so are the accounts

Our fee covers our work. The analysis, the build, the testing, the training and the handover. Any software you need is billed to you directly by the vendor, in your name, on your card. We will tell you what it costs before you buy it.

Nothing switches off if you stop working with us

We do not hold your licences and we do not build things only we can maintain. If you take it in-house or go elsewhere, the systems keep running and your staff know how they work.

Your data stays in systems you own

We do not move your customer information somewhere we control. It stays in your CRM, your email, your accounts.

Calls are recorded only with your agreement, used to prepare your review, and deleted afterwards unless you ask us to keep them.

What it costs

The Review is $990 plus GST, credited against a Full build implementation if you go ahead within 30 days.

After that, a Full build is quoted as a fixed price once we both know what we are building. Most first projects land between $2,500 and $10,000 depending on how much is involved, and you will have the number before you commit to anything.

Guided build: from $1,000 a month plus GST, with a three-month minimum, then month to month. Guided build fees are not credited against a later Full build.

Ongoing services, meaning monitoring, reporting and maintenance, are quoted per engagement rather than sold off a price list. What they cost depends on how much there is to watch and how often, so we would rather scope it properly than publish a number that turns out to be wrong for you.

All prices exclude GST. Third-party software subscriptions are billed to you directly by the vendor.
